Booking your Christmas party – Top Tips (Brisbane & Gold Coast)

wshutterstock_163005305

While August may seem an early month to start planning your office corporate Christmas party – in fact, it’s the ideal time if you want to ensure you get the best date, best venue and best entertainment.

See our 6 top tips to ensure your 2015 corporate Christmas party is remembered as a fun and memorable event.

Set your budget

It makes good financial sense to set a budget. If you can find a Christmas party that includes all your food, beverages at one set price then this is perfect. The last thing you want is an unexpected bar tab at the end of the night, you also want your staff to have the freedom to enjoy what they want, when they want.

Decide on a venue

Queensland in particular has a large choice of venues that can be used for corporate Christmas functions. Key factors to take into consideration here are the number of people likely to be attending your Christmas party, location, budget and any theme if applicable.

From Luxury hotels, Wineries, trendy bars and private rooms the choice is vast.

Book early

Year after year we hear from companies who have left it to the last minute to book their corporate Christmas function. The pressure is certainly on if you are still planning your Christmas party in October or November as by then, all the best venues will be booked up and you may be forced to have your Christmas party on a night that isn’t your first choice.
Organise the entertainment

Once your Christmas party has kicked off and everyone is enjoying themselves, it is of paramount important that you have the right entertainment organised. Popular options are a live band and DJ so that as the evening progresses your employees can let off steam and enjoy a dance.

Book your entertainment early, this way you will have the best choice, as a lot of the more popular entertainers get booked up very early.

Choose the right food and beverage package

It’s important to think about what food and beverage package is right for you and your team. Canapés are a great option if you are looking for a fun evening of dancing and drinks and it’s always a good idea to have food available to help soak up some of the alcohol. If you prefer a more intimate affair, then a sit down meal might be best for you and your team; plus it’s also crucial at a successful long evening that people are well fed so they can last the night.

Overnight accommodation?

Make sure your corporate Christmas party event has good accommodation options so you can cater for your interstate guests and staff. It’s also a treat for staff if they don’t have to worry about getting home that night.

Your bands website

wshutterstock_51172132

It is true that a band’s website is considered as the hub of online activity. The main idea of using websites for bands is to easily and quickly grab the attention and interest of fans.

At the same time directing them into your website to create deeper connections. Apart from this, band websites have the ability to control a fan’s individual experience.

If you want to make your band more interesting and accessible to potential clients, it is worth considering constructing a website. Here are some of the basic rules for consideration:-

No Flash – It is a fact that flash has the ability to capture your content. The return visits and flash is inversely proportional. Most fans don’t care about the swoopy animation since all they want to do is to learn and know more about your services and at the same time make a great connection. There are some people who make use of Flash band sites. There are sites that look good but potential customers may dislike them.

Make a strong and impressive front page – Most website visitors will usually give you around two seconds to decide if they will explore or leave your site. This is one of the reasons why you need to create a strong and impressive front page. If you have a strong and impressive front page, you are assured that your new visitors will have great reasons to stay on your page. The excellent formula in creating your front page includes these 4 elements such as a compelling offer, upcoming gigs or summarised news, music player and unique paragraph bio.

Keep it easy to understand and simple – Apart from your front page, you need to make sure that you limit your pages to an excellent concept. Avoid putting your gallery on your bio page. It is very important to separate the pages making them easier to understand and find.

Keep it Updated – One of the key things that you need to bear in mind is to keep your band website always updated. It is highly recommended to post new blogs and new content every week. If you want to update your band website, consider the help of a service provider.

Create an Awesome Community – It is also important to add a forum to perfectly build a community around your band website. By doing this, you are assured that your fans can create excellent communication and friendship to one another.

Bespoke Entertainment – FAQ

wshutterstock_193407950

Using the right Entertainment agent is crucial, without the correct assistance there are many issues that may arise.

Bespoke Entertainment agents get a lot of questions regarding the actual booking process, listed below are the 6 most commonly asked questions:-

  1. Will the act I choose be right for me?

One of the most commonly asked questions.

We can provide you with a huge amount of information about every act, therefore helping you to feel completely confident that the act you book is the right one for your event.

  1. How much will it cost me?

As all of our acts are different in various ways, we don’t have one set price list that details the cost, for example solo singers will vary compared to bands and tribute shows. Some bands will have three members and others may have seven or eight musicians. Other entertainers may also hold celebrity status.

However, we will provide you with all of the information you need in order to make an informed decision prior to any booking. We will also do our utmost to ensure you get the perfect act for your event, and within the budget you have available.

  1. What happens if the act doesn’t show up?

In the highly unlikely event that an act doesn’t show up to your event, we’ll always do as much as we can to get a similar act to your event as soon as possible.

Just like you’ll have backup plans for the event in general, we will have a backup plan also, should something unexpected happen. One of the main benefits of booking through a well-known and reputable agency is the access to, and knowledge of multiple entertainers throughout the region.

  1. What happens if the act is nothing like expected?

The Bespoke Entertainment booking process which includes obtaining as much information about you and your event as possible should eliminate the above scenario. (Question 5 below goes someway to answering this question also)

We take the satisfaction of our customers very seriously.

  1. How difficult is it to book an act?

Our 5 point booking process is outlined below

Tell us the type of band or style of entertainer(s) you have in mind.

We listen carefully, and then ask you a series of questions regarding your wishes and requirements

Based upon your personal information we recommend the most suitable act(s) for your special day.

After you have chosen from our recommended selection we then contact your ideal artist(s) and complete the booking on your behalf.

We will also contact any planners or event coordinators, “get on the same page” as them and liaise one week before the event to ensure things run smoothly.

  1. Am I able to book an act for a regular event?

This is a simple one – as long as the diary of the act you want to book is free, at the time of booking you can choose whether you’re looking to book them for next week or the next 52 weeks!

Anniversary Party Planning Ideas

The word anniversary, meaning returning with the year or the annually recurring date of a past event, derives from the Medieval Latin word anniversarius, where annus means year and versus, which is the past participle of vertere, means to turn.

In modern times an anniversary celebration is usually held as a day of remembrance to commemorate a special event, particularly one of historical, national or personal importance: a person’s death, the anniversary of the founding of Rome or more usually a wedding anniversary.

Wedding Anniversary Gifts by Year

1st Paper 20th China
2nd Cotton 25th Silver
3rd Leather 30th Pearl
4th Books 35th Coral
5th Wood 40th Ruby
6th Iron 45th Sapphire
7th Wool 50th Golden
8th Bronze 55th Emerald
9th Copper 60th Diamond
10th Tin 65th Blue Sapphire
11th Steel 70th Platinum
12th Silk 75th Diamond and Gold
13th Lace 80th Oak
14th Ivory
15th Crystal

Live Music for your Anniversary Party

With music being one of the most important aspects of any party you might think about a themed band or DJ to play music from the era of your wedding. For example why not book a swing band or jazz quartet for your 25th or 50th wedding anniversary party or a traditional rock and roll band for all you 1960’s or 70’s newlyweds.

Many of our tribute bands will perform in costume which can lead to even greater amusement if you make it compulsory that all your guests must dress up in gear that was trendy in the year you were married, especially if any of them still have original items of clothing from those days!

Maybe you were married overseas, be it Ireland, Bali, Fiji or the USA so why not ask Bespoke Entertainment to provide a band who will perform music traditional to that country; an Irish band to get everyone jigging, or a top class steel band to re-invoke the sound of the sea and the swaying palms you enjoyed on your Island paradise wedding day.

Many people choose to organise a 1st, 2nd or 3rd year wedding anniversary party featuring the same band they hired for their wedding day. Your guests will have loved them the first time around so it’s a pretty safe bet that the next performance will be just as great.

A night to remember
If you’re asking guests to wear fancy dress then your room should be decorated in a similar theme.

For a personal treat you should ask all your friends to bring photos, anecdotes and tall tales about your years as a married couple. You can later compile these into an album to look back on and enjoy for years to come.

Corporate Function Entertainment Brisbane

bespoke-conference-bands

Company X, a large shipbuilding and welding corporation, had just completed a record breaking year, together with the long awaited acquisition of a major company they had been pursuing.

This meant exciting times ahead, including a rapid period of growth in staff levels and a brand new purpose built head office.

Our brief was to assist them with the corporate entertainment at their official re-launch party. The guests where to incude all current and future staff, current business customers and prospective future clients. As the company had used our services previously, we had been provided with the evenings running times and format of the evening, but had been given a free hand as to the type of live entertainment. We were informed that there would be various awards to staff members immediately after the meal, although at this stage they were unsure as to who would be co-ordinating this.

There were to be approximately 500 guests in attendance with ages ranging from early 20’s to early 60’s.

Key facts

  • A large and successful company wanting to mark a record breaking year and promising times ahead.
  • 500 guests with a wide spread in age.
  • Awards to be conducted after main meal.
  • Industry type, shipbuilding and welding.

Recommendation

Upon arrival, Bespoke Entertainment agents installed several canapé hostesses and champagne showgirls who provided the guests with drinks and nibbles before moving into the main ballroom.

We provided a well know professional Master of ceremonies to co-ordinate the evening. Before she started the company awards and in order to provide a massive impact, we had arranged for a troop of fire dancers to perform immediately prior to the first award. The fire theme tying in nicely with the company’s area of industry.

As soon as the formalities where out of the way we provided an awesome “good as it gets” 7 piece show band, who immediately flooded the dance floor, thus finalising a truly memorable evening.

Birthday party ideas Gold Coast

wshutterstock_55096366

A brief history of Birthdays

The tradition of holding a party to celebrate the anniversary of birth began centuries ago in Europe when it was feared that evil spirits sought out people on their birthdays. To protect them from harm, friends and family would gather around to bring good thoughts and wishes. Giving gifts brought even more good cheer to ward off evil spirits, and candles were placed on cakes to transport the birthday wishes directly to God.

Initially, only royalty was deemed important enough to have a birthday celebration, but the tradition soon spread with the introduction of the children’s party in Germany, the Kinderfeste.

For the trivia buffs amongst you; the lyrically astounding ‘Happy Birthday to You’ song was written in 1839 by sisters Mildred and Patty Smith Hill.

Birthday Party Ideas

Birthday party fancy dress themes work really well, such as James Bond, Hawaiian, Phantom of the Opera, The Godfather, Alice in Wonderland, Hollywood Oscars Night or Wild West Theme.

It’s good to ensure there are plenty of attractions to keep guests talking & mingling so you could also consider casino tables which can tie in nicely with a James Bond theme, for example, and create a space for guests to meet, mix and break the ice.

For a rocking party, you could book a band to play songs fitting to that theme or just a general rock and pop, swing, soul or jive band to keep your guests dancing all evening long.

Irish bands are great for those who want a different kind of music or for those with Celtic roots – hire a band with a caller to shout out the dance moves and you’re away!

A night to remember

If you’re asking guests to wear fancy dress then your room should be decorated in a similar theme.

Consideration can also be given to the use of balloon displays, historic memorabilia, unusual cocktail ideas and table decorations.

Wedding Entertainment Case Study – Sophia and Jared

wshutterstock_99461777

Sophia and Jared had booked their wedding service and reception at probably the most exclusive golf club in South East Queensland on what proved to be one of the coldest Queensland winter days of the year. The format of the party was again a three course meal, speeches, cutting of the cake followed by the bridal waltz/first dance.

The reception party was held in the clubs main function room with 100 guests and a variation in age, ranging from eighteen years through to relatives aged 65 years and over.

The wedding service was booked for 1.00pm with the evening party not starting until 8.00pm, as not all of the guests were invited to the wedding service, but would be attending the wedding reception in the main function room and arriving later in the day. The immediate family and the guests attending the wedding service would have a buffet lunch in the lake view bar between 3.30 and 5.30. Sophia is a fanatical Bee Gees fan as is her dad Peter, and their enthusiasm for the band is a long running family joke.

Key Facts

Size of function room

Age range of guests

Large time frame between wedding service and evening party

Immediate family and selected guests having a buffet lunch in lake view bar mid afternoon

Some of the guests arriving later in the day

Sophia and her Dad are fanatical Bee Gees fans, and well known by family

Recommendation

Taking into account the large time frame between the wedding service and the evening party, Bespoke Entertainment booked a classy acoustic solo artist who performed tasteful easy listening ballads in the lake view bar between the times of 3.30 and 5.30. A solo set was also played in the lobby area outside the clubs main function room between the times of 6.30 and 7.30 as the evening guests arrived and congregated for a pre-dinner drink.

After several discussions with Sophia and Jared and taking into account the long standing family link it was decided that it would be great fun to book a Bee Gees tribute show band. The band commenced as soon as the speeches had be finalised. Resulting in a lot of smiling faces and a packed dance floor all night.

wshutterstock_134080430

Acoustic solo artist $380
Bee Gees Tribute Show $2,500

Total cost $2,880
